The Architectural Design Review Committee reviews and approves exterior modifications to homes and properties within MHOA. Any exterior modification, including fences, paint colors, additions, sheds, solar panels, and driveways โ€” requires ADRC approval before work begins.

Renters โ€” Planning Exterior Changes?

If you are renting in Marylhurst and considering any exterior modification โ€” even something that seems minor like a garden bed, a satellite dish, or a coat of paint โ€” please speak with your property owner or property manager first. All exterior changes require ADRC approval, and the request must be submitted by or coordinated through the homeowner.

Your homeowner or property manager can download the ADRC request form, walk you through the process, and submit the application on your behalf. This ensures everyone is on the same page and that the modification is properly approved before work begins.

About MHOA

Who We Are

MHOA is a private association of homeowners of the Marylhurst community, located in Lake Oswego, Oregon, formed in 1994. Membership is limited to property owners within the development.

Our neighborhood sits along Oregon Route 43 near the Willamette River, approximately eight miles south of Portland, within the scenic Glenmorrie area of Lake Oswego. It is a peaceful, residential community known for its lush greenery, tree-lined streets, and a welcoming mix of families and longtime residents.

The area takes its name from the historic Marylhurst University campus nearby, a storied institution that shaped the character of this part of Lake Oswego until its closure in 2018. The broader Marylhurst neighborhood borders the Willamette River to the west and is framed by mature Douglas firs and native Oregon landscaping.

Our Community

Marylhurst is described by its residents as beautiful, safe, walkable, clean, and family-friendly. The neighborhood is home to approximately 380 residents and features a close-knit atmosphere where neighbors know each other by name.

Residents enjoy proximity to the Willamette River, Glenmorrie Park, and Tryon Creek State Natural Area trails. The community is situated within the highly regarded Lake Oswego School District and is minutes from downtown Lake Oswego's shops, restaurants, and the Oswego Lake waterfront.

Lake Oswego itself is one of Oregon's most desirable residential cities, rich in arts, culture, and outdoor recreation, with easy access to the Columbia River Gorge, Mt. Hood, the Oregon Coast, and downtown Portland.

Our Board

MHOA is governed by an all-volunteer board of homeowners elected by the community. The board meets quarterly to manage community business, review association finances, oversee common area maintenance, and address resident concerns.

Board members are your neighbors, homeowners who volunteer their time to keep our community well-run and well-maintained. We currently have openings and warmly welcome any homeowner who wants to get involved. No prior experience is needed, just a willingness to show up and contribute.

The association supports several working committees that help the board carry out its responsibilities:

  • Accounting & Billing Committee oversees dues collection, financial reporting, and vendor payments
  • Architectural and Design Review Committee (ADRC) reviews and approves exterior modification requests from homeowners
  • Nomination Committee identifies and encourages qualified candidates for board service
  • Governance Committee reviews and recommends updates to governing documents and community policies

We are always looking for ways to strengthen governance through member working groups and broader community participation. If you have a skill or an interest that could benefit MHOA, we would love to hear from you.

Frequently Asked Questions

How much are annual dues and when are they due?+
Annual HOA dues are $600 per year. Payment is due by March 1st of each year. Multiple payment options are available including check, bank bill pay, ACH, and credit card.
Do I need approval before making exterior changes to my home?+
Yes. All exterior modifications โ€” including fences, paint colors, additions, sheds, solar panels, decks, and driveways โ€” require approval from the Architectural Design Review Committee (ADRC) before work begins. Submit the ADRC request form at least 30 days before your planned start date.
How do I access the portals?+
MHOA has two portals. The Member Portal is for homeowners (dues-paying property owners) and provides full access to documents, meeting minutes, financial reports, and payment options. A shared member password is distributed annually by the board. The Resident Portal is for registered renters and provides access to community announcements and safety alerts. Renters receive their login credentials upon completing Renter Registration. If you are a homeowner and do not have your login, or a renter who has registered but not received credentials, email marylhursthoa2018@gmail.com.
How can I attend board meetings?+

I'm renting in Marylhurst โ€” do I need to register?+
We warmly ask that property owners register their renters with the board. This helps us welcome every resident, route communications correctly, and maintain emergency contact records. Upon registration, renters receive login credentials to the Resident Portal, where they can view community announcements and safety alerts. Visit the Renter Registration page to submit the form.
Who do I contact for a resale disclosure packet?+
Escrow companies, brokers, and buyers can request a resale packet by emailing the board at marylhursthoa2018@gmail.com. The processing fee is $150, collected through escrow at closing. Turnaround is typically 7โ€“10 business days. Full details are on our Resale Packets page.
How do I report a concern, violation, or suspicious activity?+
For safety emergencies, always call 911. For suspicious activity, contact Lake Oswego Police non-emergency at (503) 635-6350.

For neighborhood concerns, we ask that residents start with a spirit of courtesy, respect, and reasonableness โ€” the foundation of a community where people enjoy living. Many situations are best resolved directly between neighbors through a friendly conversation. A little grace goes a long way, and most of the time a quick, kind word is all it takes.

If the matter involves a visible violation of the CC&Rs or community rules โ€” something the board can observe and act on โ€” you are welcome to email the board at marylhursthoa2018@gmail.com. Please include the nature of the concern and the general location. The board reviews all reports and typically responds within 5โ€“7 business days.

For ongoing neighbor disputes that fall outside the board's enforcement authority โ€” noise, trees, fences, personality conflicts โ€” Clackamas County Resolution Services offers free, confidential mediation and is an excellent resource for finding a fair outcome without escalation.

We are all volunteers and neighbors here. Treating one another โ€” and the board โ€” with patience and good faith is what makes Marylhurst the kind of place people are proud to call home.

            We offer several convenient ways to pay your annual HOA dues of $600/year. Please read each option carefully.

            No Processing Fee

            Many banks offer a free Bill Pay service through your online banking portal. This is different from an ACH/bank transfer โ€” when you use your bank's Bill Pay, your bank prints and mails a physical check on your behalf. There is no HOA processing fee for this method.

            To set up Bill Pay through your bank:

            1. Log into your bank's online banking portal (if offered)
            2. Add Marylhurst HOA as a payee
            3. Enter PO Box 195, Marylhurst, OR 97036 as the payee address
            4. Enter your property address in the memo, account, or note field
            5. Set the payment amount and desired delivery date

            We accept all major credit and debit cards through our secure payment portal. A 3% processing fee applies and is passed on from our payment processor.

            🔐 Password Management

            Passwords for this site are managed securely through Firebase Authentication — a Google cloud service used by organizations worldwide. Passwords are stored as one-way cryptographic hashes inside Firebase's infrastructure. No password is ever stored in this website's code, in your file storage, or in any document accessible to board members.

            The site uses three accounts: a Resident account (username: resident), a Member account (username: member), and a Board Admin account (username: board). Users type only the short username on the website — the code maps it to the Firebase email behind the scenes.

            ☁️ Cloudflare (Domain & Hosting)

            Cloudflare manages both the domain name (marylhursthoa.org) and hosts the website files for free through Cloudflare Pages.

            How to Access
            Go to dash.cloudflare.com and sign in with the Cloudflare account that owns the domain.
            Domain Renewal
            The domain auto-renews annually at cost (~$10–12/year for .org). To verify: Cloudflare Dashboard → Domain Registration → Manage Domains → marylhursthoa.org → confirm Auto-Renew is ON. The renewal charge should be recorded in QuickBooks and reimbursed from HOA funds.
            How to Update the Website

            Upload the updated index.html file → click Deploy — the new version goes live immediately
            ⚠️ Note: Cloudflare's email protection feature automatically obfuscates email addresses in HTML. The mailto: links on the site still work because Cloudflare deobfuscates them in the browser. If you view the page source, emails will appear encoded — this is normal.

            🔥 Firebase (Authentication & Database)

            Firebase provides the login system (Authentication) and stores all website data like announcements, meetings, documents, and board notes (Firestore database). It runs on Google's free Spark plan.

            How to Access
            Go to console.firebase.google.com and sign in with the MHOA Google account (marylhursthoa2018@gmail.com) or the personal Google account that created the project.
            Key Sections
            Authentication → Users — View and manage the three login accounts. Change passwords here (see Security tab for step-by-step instructions).
            Authentication → Settings → Authorized domains — Must include marylhursthoa.org. If you ever move the site to a new domain, add it here.
            Firestore Database — All website data (announcements, meetings, documents, vendors, etc.) is stored here. Data is managed through the Admin Dashboard — you should rarely need to edit Firestore directly.
            Firestore → Rules — Security rules that control who can read and write data. These should not be changed unless you understand the implications. Current rules: all reads require login; all writes require the board admin account.
            Costs & Limits
            Firebase's free Spark plan has no monthly charges and no credit card required. Limits: 50,000 authentications/month, 1GB storage, 50,000 reads/day. MHOA uses less than 1% of these. Verify your plan at the bottom-left of the Firebase console — it should say "Spark plan."

            📁 Site Architecture

            The entire website is a single HTML file (index.html). There are no separate CSS, JavaScript, or image files to manage.

            🔄 Board Transition Checklist

            When board membership changes, the outgoing board should ensure the incoming board has access to all services.

            Change the board admin password in Firebase (see Security tab for instructions). Provide the new password to incoming board members.
            Share Cloudflare login credentials for domain and hosting management at dash.cloudflare.com.
            Share Firebase access — either share the Google account credentials, or add the new board member as a project collaborator in Firebase Console → Project Settings → Users and permissions.
            Share the MHOA Gmail credentials (marylhursthoa2018@gmail.com) and QuickBooks access.
            Provide the current member and resident passwords so the new board can distribute them as needed.
            Ensure domain billing continuity — confirm the credit card on file for domain renewal is valid, or update it to a new board member's card. Record the reimbursement arrangement.
